Why People Look for a Deputy Alternative
Deputy is a good product with a real reputation, and most businesses searching for an alternative are not unhappy with the software. They are unhappy with the fit.
Three reasons come up repeatedly.
Per-user cost as you grow. Deputy starts at around 4.90 AUD per user per month. At twelve staff that is a small line item. At sixty it is a number the owner asks about, and it arrived gradually enough that nobody re-evaluated the decision along the way.
Paying for capability you never open. Demand forecasting, AI-assisted scheduling and a large integration marketplace are genuinely valuable to a chain forecasting labour against projected revenue. A twenty-person childcare centre is not doing that, and much of what makes an enterprise platform expensive is engineering that business will never touch.
Complexity has an ongoing cost. More capable software takes longer to learn and usually assumes somebody owns it. In a forty-person business that somebody is the operations manager, on top of their real job.
None of that makes Deputy the wrong choice. It makes it the wrong choice for some businesses, which is a different and more useful claim.
The Alternatives, Compared
| Platform | Entry price | Free plan | Strongest for | Main gap vs Deputy |
|---|---|---|---|---|
| GetMyRoster | 1 USD per user per month, annual (2 USD monthly) | Up to 5 staff | SCHADS costing, credential tracking | No forecasting or AI rostering |
| RosterElf | Approx 6 AUD per user per month | Trial only | Multi-award interpretation | Limited saving vs Deputy at small scale |
| Connecteam | Approx 29 USD per month | Up to 10 users | Team comms, training, tasks | No native AU award costing |
| Findmyshift | Approx 25 USD per team per month | Limited | Large teams, flat pricing | No award compliance features |
Prices are publicly listed entry rates as at September 2026. Note that some are quoted in Australian dollars and some in US dollars, so convert into what you actually pay before comparing anything. Savings claims that subtract one currency from another are inflated, and you will find plenty of them, including in earlier versions of this page.
Being Straight About What You Give Up
Most alternative pages, ours included in the past, imply you get everything Deputy does for less. That is not true and it is worth stating plainly, because discovering it after migrating is expensive.
GetMyRoster has no demand forecasting and no AI roster generation. Its award depth is strongest on SCHADS rather than uniform across every Modern Award. Its integration range is narrower, covering Xero, MYOB and QuickBooks rather than a marketplace. If any of those are load-bearing for you, switching to save subscription cost is a false economy and you should stay where you are.
What you gain, if your needs sit in the common middle: lower per-user cost, a free plan that lets you evaluate on a real roster rather than a 14-day countdown, and certificate and licence expiry records, which matter a great deal in NDIS, aged care and childcare. Rather than assert what a competitor does or does not include on a given tier, ask each vendor to demonstrate credential expiry alerting on the exact plan you would buy, with your own credential types. Tiers change and comparison pages go stale.
One clarification on our own tiers, since it is the thing most often got wrong: GetMyRoster's free plan covers up to 5 users at one location, with the web dashboard, mobile apps, notifications and certificate management. The GPS time clock, shift cost breakdowns and staff availability management are paid, and payroll integration sits on the Enterprise tier. If award costing is the reason you are switching, you are switching to a paid plan.
A Migration Plan That Does Not Blow Up
If you do move, sequence matters more than speed.
Export before you cancel anything. Staff list, historical rosters, timesheets. Do this first, while you still have full access. Historical roster data answers questions about who worked what eighteen months ago, which comes up during pay disputes and incident reviews more often than anyone expects.
Rebuild sites, templates and staff. The staff list usually exports and imports cleanly as CSV. Sites, shift templates and recurring patterns are manual, and this is the bulk of the work. Resist the urge to tidy your roster structure at the same time, because if something does not reconcile later you will not know whether the cause was the migration or the redesign.
Connect payroll and check the employee records match. Name mismatches between systems are the most common cause of a broken first export, and they are tedious rather than difficult.
Run a full pay cycle in parallel. Not a week, a full cycle. Build the roster in both, run both to the end, and reconcile. This is the step people skip and the only one that actually proves the new system calculates penalties, broken shifts and allowances the way you expect.
Then switch off, and tell staff properly. Everyone needs the new app installed and a reason to care. Lead with what improves for them, seeing the roster on their phone, accepting open shifts, submitting availability, rather than what improves for the business.
How long all this takes depends on headcount, sites, award complexity and data volume. A single-site team of fifteen is quick. A four-site provider under SCHADS with credential data to migrate is not. Be sceptical of any vendor, ours included, quoting a fixed migration time without asking those questions first.
Before You Commit
Check three things and you will avoid most regret.
Name your awards. Write them down by name and code. Employers who assume they are multi-award usually have one award plus a couple of salaried staff outside it, and that single fact resolves most of this decision.
Confirm your payroll system is supported. If you are on Xero, MYOB or QuickBooks you have options. On anything else, verify before you start rather than after.
Rebuild a known fortnight. Take a past pay period where you already know the correct answer and reproduce it in the trial. If the numbers match, you have a real result rather than an impression. The Cost Comparison People Get Wrong
Subscription price is the easiest number to compare and the least useful one on its own. Four costs sit around it, and they routinely swamp the difference.
Migration time is real money. Rebuilding sites, templates and credential records, then running a parallel pay cycle, costs somebody's hours during a period when the roster still has to go out. Price that at what the person doing it actually earns. On a small team it is modest. Across four sites with award complexity it can consume most of a first year's saving.
Retraining the whole team, not just managers. Every worker needs the new app and enough confidence to use it. This is usually underestimated because managers judge difficulty from their own learning curve, which is the wrong sample. Budget for the casual who works one shift a fortnight and will need walking through it twice.
The dip while people learn. For the first few weeks the new system is slower than the old one, because familiarity is worth more than features in the short run. Expect it, and do not schedule a migration into your busiest month, which is the single most common self-inflicted wound in these projects.
Whatever you lose, priced honestly. If you currently use forecasting and give it up, the cost is whatever over-rostering it was preventing. That number may be larger than the subscription difference, and it is the one nobody calculates because it does not appear on an invoice.
Run the comparison over three years rather than one. Migration and retraining are one-off, so a switch that looks marginal in year one often looks clearly right or clearly wrong across three. And if the numbers come out close, stay where you are, because a marginal saving is not worth the disruption and the risk of discovering a gap after you have cancelled. Switching should be an obvious call or not a call at all. For sizing guidance, see our workforce management software guide.
