Why Rostering in Australia Is Its Own Problem
Rostering here is harder than rostering almost anywhere else. That is not national self-pity. It is the Modern Award system.
Here is what it looks like on a Sunday night. You roster a casual for a Sunday shift in a cafe. Under the Hospitality Industry General Award (HIGA, MA000009) that shift carries a 175% penalty rate, with casual loading already folded in. Fine. Then you roster the same person for a 90-minute Monday open, and you have a second problem, because HIGA sets a 2-hour minimum engagement. You are paying two hours whether they work them or not. Now repeat that across 18 casuals for a 12-week quarter in a spreadsheet, and tell me you would catch every one.
Nobody does. That is the honest starting position, and it is why minimum shift length rules across Australian awards account for so much accidental underpayment. The breaches that end up in front of the Fair Work Ombudsman are rarely deliberate. They are arithmetic that got away from someone at the end of a long week.
Generic overseas scheduling tools do not help, because they were never built for this. They will happily let you publish a roster that breaches an award, because they have no concept of what a Modern Award is. A drag-and-drop calendar with a nice mobile app is not compliance software. The distinction matters more in Australia than in almost any other market.
The Five Platforms Compared
Pricing below reflects publicly listed entry rates as at September 2026. Vendors change pricing often, so confirm current rates before you commit.
| Platform | Entry price | Free plan | AU award depth | Best for |
|---|---|---|---|---|
| GetMyRoster | 1 USD per user per month, annual (2 USD monthly) | Yes, 5 users at 1 location | SCHADS and Children's Services supplied; others configurable | Small to mid AU teams, NDIS and aged care |
| Deputy | From approx 4.90 AUD per user per month | No | Broad, enterprise oriented | 100+ staff, multi-site forecasting |
| RosterElf | From approx 6 AUD per user per month | No | Multi-award interpretation | Employers across several Modern Awards |
| Connecteam | From approx 29 USD per month | Yes, up to 10 staff | Limited, not AU specific | Deskless teams needing comms in one app |
| Findmyshift | From approx 25 USD per team per month | No | None | Simple schedules, no award obligations |
GetMyRoster. Free for up to 5 users at a single location, then 1 USD per user per month on annual billing, or 2 USD monthly. It is built around Australian obligations rather than retrofitted to them: SCHADS Award penalty rate tables, GPS-verified clock in and out with a site radius check, certificate and licence expiry records, and direct Xero Payroll integration, with CSV timesheet export for MYOB and QuickBooks. Be clear on what sits where, because the tiers matter. The free plan covers up to 5 users at a single location, with the web dashboard, mobile apps, notifications and staff certificate management. The GPS time clock, shift cost breakdowns and staff availability management are paid. Payroll integration sits on the Enterprise tier. The shift cost breakdown is the one worth paying for, because it lets a manager see the real labour cost of a roster before publishing it rather than discovering it in the pay run.
Where it will not suit you: there is no demand forecasting and no AI-assisted roster generation, so if you want the system to predict Saturday trade from last year's takings, this is not it. The award depth is strongest on SCHADS. If you run staff across four different awards simultaneously, a dedicated interpretation engine will serve you better. And it integrates with payroll rather than processing payroll, which is a distinction worth being clear on before you buy. See the full GetMyRoster and Deputy feature comparison if you are weighing those two directly.
Deputy. The heavyweight, and priced accordingly. AI-assisted scheduling, demand forecasting, a deep integration marketplace, and the operational maturity that comes with scale. If you run 200 staff across eleven sites and need to forecast labour against projected revenue, Deputy earns its premium. If you run 12 staff in one cafe, you will pay for a great deal of capability you will never open.
RosterElf. The award interpretation is the product. For an employer covering several Modern Awards at once, that engine does real work and the price is defensible. Costs climb steeply with headcount though, which is the usual reason mid-sized teams look elsewhere. We go deeper in the GetMyRoster and RosterElf comparison.
Connecteam. Genuinely good mobile-first product and a generous free tier at 10 users. The catch for Australian employers is that award compliance is not its strength. It is a communications and operations app that also does rosters, rather than a compliance tool.
Findmyshift. Cheap, simple, and does what it says. No Australian award features, no local payroll integration. Fine for a volunteer roster or a team with no award obligations. A liability if you have them.
The Features That Actually Earn Their Keep
Feature lists are mostly noise. Five things move the needle for Australian employers.
Named award coverage, not "compliance features". This is the one to be sceptical about. Any vendor will tell you they handle compliance. Ask which awards, by code. SCHADS is MA000100. HIGA is MA000009. The General Retail Industry Award is MA000004. A vendor who cannot name the award you operate under is selling you a calendar. Our own SCHADS Award rostering compliance guide sets out what that actually requires.
GPS time clock. The Fair Work Act 2009 requires accurate time and wage records, and "the roster said 9am" is not a time record. GPS clock-in against the scheduled site produces an audit-ready trail and closes the gap between rostered hours and paid hours. For mobile or multi-site workforces this is usually where the first real savings show up, as covered in roster hacks that cut labour costs without cutting staff.
Payroll integration. Manual re-keying of timesheets into Xero is where underpayments are born. You want approved hours flowing through with the penalty rate breakdown attached. See Xero, MYOB and QuickBooks payroll integration for Australian employers for how the export should work.
Availability and leave. A roster tool that does not know who is available is a prettier spreadsheet. Staff setting their own availability and requesting leave in-app is the single biggest reduction in a manager's phone time.
Certificate and licence tracking. In aged care, disability, childcare and security, rostering an unqualified worker is a regulatory event, not an admin error. A First Aid certificate runs three years. An NDIS Worker Screening Check runs five. They will never expire in the same year, which is precisely why they get missed. Certificate expiry tracking flags these before they lapse.
How to Run the Decision Without Wasting a Quarter
Four steps, in this order. The order matters.
Start with your award, not your budget. Pull the award, list the specific obligations that bite: minimum engagement, penalty rate windows, break entitlements, overtime triggers. That list is your test script. A platform that gets your penalty rates right will save you more than every other feature combined.
Then size it. Under 5 staff, take a free plan and stop agonising. Between 5 and 50, per-user pricing dominates total cost, so the gap between 1 USD and 6 USD per user compounds fast. Above 200 with forecasting needs, the enterprise tier is arguable.
Trial with a real roster. Not a demo roster. Your actual staff, actual sites, actual awkward Sunday split shift. Most platforms look identical until you feed them the shift pattern that has been annoying you for two years.
Test the staff side last, and take it seriously. Managers choose the software, staff decide whether it works. Install the app and run a clock-in and a leave request as an employee would. Adoption dies on a clunky mobile flow, and a roster tool nobody opens is worse than the spreadsheet you replaced, because now you believe the data.
The mistake we see most often is buying for the edge case. Someone picks the platform that handles the one unusual scenario that comes up twice a year, and lives with friction every single week. Optimise for the Tuesday, not the exception.
